Everything you need to get started and get the most out of RecordLog.

How to use RecordLog

1. Create an account

Download RecordLog and tap Get Started on the Welcome screen. Enter your name, email address, and a password. You will receive a verification email — tap the link inside to activate your account, then sign in.

2. Start a new project

From the Dashboard, tap the + button. Enter a name for your project and an optional location. RecordLog works for any asset — property, vehicle, equipment, medical, or anything worth documenting.

3. Take photos using the in-app camera

Tap Start Shooting to open the camera. RecordLog uses its own camera to ensure each photo is captured with consistent metadata at the moment of the shutter tap. Your phone gallery is intentionally not supported.

💡 Allow location and camera permissions when prompted for best results.

4. Review and label each photo

After every shutter tap, the Photo Review screen appears. Add an optional title, area label, and notes up to 300 characters. Tap Save & Next to continue shooting, or Save & Review All when you are done.

5. Organise in the gallery

The Photo Gallery groups your photos by area. Drag to reorder within each group. Tap Edit on any photo to update its title, area label, or notes. Tap Add More Photos to return to the camera at any point.

6. Generate and export your PDF

Tap Generate PDF. RecordLog compiles all photos into a clean, organised PDF and locks the record. Tap Download PDF to save to your device, or Share PDF to send it directly to someone.

💡 The Firebase cloud record is the stored version — the PDF is your shareable copy.

Tips for a better record

1. Label clearly

Use titles like "Kitchen-tap" or "Rear-bumper" instead of "Photo 1". Clear labels make your PDF far easier to read and navigate later.

2. Add a short note

Even one sentence adds useful context. "Small scuff near skirting board" is far more helpful to a reader than no note at all.

3. Stay on location

Take all photos while physically present at the asset. This keeps your GPS coordinates accurate and consistent across the whole project.

4. Keep data on

Mobile data or Wi-Fi enables server timestamps and cloud sync. Offline use is supported, but the server-side timestamp cannot be confirmed without an active connection.

5. Use good lighting

Well-lit photos show detail clearly in the exported PDF. Natural light works best for close-up shots and detailed damage records.

6. Be consistent

Use the same area labels throughout — "Kitchen", "Bedroom 1", "Front exterior". This groups your photos neatly and keeps the PDF easy to follow.

Frequently asked questions

1. Why can't I upload photos from my phone gallery?

RecordLog uses its own camera to ensure every photo is captured with consistent metadata at the moment of the shutter tap. Gallery photos don't carry this information reliably, so they are intentionally not supported.

2. What is the difference between the PDF and the Firebase record?

The PDF is a shareable convenience copy. The stored record is in Firebase, hosted in Melbourne. Every exported PDF includes a watermark on every page noting this.

3. Can I edit a photo or inspection after it has been locked?

Once locked, an inspection cannot be edited on the free tier without a one-time Edit After Lock unlock ($2.99). It is generally better to start a new project for an updated session.

4. How many photos can I take per project?

The free tier allows 1 active project with up to 10 photos. The paid plan ($7.99/month) gives you up to 25 projects with 30 photos each. A single PDF export is available for $1.99.

5. Where is my data stored and how long is it kept?

All data is stored in Google Firebase, hosted in Melbourne, Australia (australia-southeast2), in accordance with the Australian Privacy Act 1988. Data is retained for 30 days after account deletion.

6. What happens if I take photos without an internet connection?

The server-side timestamp cannot be confirmed in real time without an active connection. For the most reliable records, keep mobile data or Wi-Fi active during your session.

7. Can I use RecordLog for any type of inspection?

Yes. RecordLog is a camera app with SHA-256 hashing, GPS tagging, and PDF export. Use it to document anything — properties, vehicles, equipment, medical screens, site conditions, or any asset. RecordLog does not certify or validate anything you photograph. It is a documentation tool only.
